Unable to locate new employee record

In this article, we explain how to resolve the issue when a new employee record isn't visible or not showing on the planning screen.

If you're unable to locate the new employee record there are a few reasons that could be the cause.

To troubleshoot and rectify anything necessary, please follow the steps.


Check the applicant section

First, you need to ensure they're not listed as an applicant.

To do this, please follow these steps:

  1. Click HR.

  2. Hover over Applicant and select Find.

  3. Locate the client record.

  4. Once all of the required sections are complete, click Recruit in QuickLinks. The system will redirect you to the New Employee screen.

  5. Enter any missing required fields.

  6. Click Save.


Check user settings

Next, you need to check the user settings are correct.

To do this please follow these steps:

  1. Click Settings.

  2. Hover over Other.

  3. Hover over Profiles & Users.

  4. Click Users.

  5. Click into the User Account.

  6. If on the right, under Security Access there are any green ticks, click into those profiles.

  7. Click Profile Details.

  8. Make a note of the user's Branches & Areas and Employee Types. These contain which restrictions are active on the Users Account.

Edit profiles for branches and areas

If there were any restrictions noted, you need to edit these to make them visible.

To do this please follow these steps:

  1. Click Settings.

  2. Hover over Other.

  3. Hover over Profiles & Users.

  4. Click Branches & Areas.

  5. Click into the Profile the user was connected to.

  6. Select the relevant Branch & Area you need them to have visibility of.

  7. Click Save.

  8. Ask the user to log out and log back in. They should now be able to see the employees and clients in that area.

If you're still unable to locate the Employee record, please raise a new case online, reference the title of this article and including the following information:

  • Employees name.

  • Start date of employee.
