Troubleshoot Google Maps travel calculations in payroll

Steps to check if your Google Maps travel calculations aren't pulling through values on payroll.

If you're using Google Maps to calculate travel for payroll but aren't seeing any values pull through, there are several areas worth checking. Work through each section below to identify and resolve the issue.


Payroll run

Check that the travel calculation method against the run is set to Google Maps:

  1. Click Settings, then click Finance.

  2. Click Payroll, then click Runs.

  3. Select the run you expect to see travel against.

  4. Check that the Travel Calculation Type is set to Google Maps.


Travel rate sheet

Check that the travel pay rate sheet is set up with all of the required fields populated:

  1. Click Settings, then click Finance.

  2. Click Travel, then click Pay Rate Sheets.

  3. If one doesn't exist, click the + plus icon to create a new one. If you already have one, select it on the left using the arrow.

  4. On the Revisions tab, amend your view using the Rate Sheet View drop-down and check that all sections are completed.


Employee travel rate sheet

Check that the employee has a travel rate sheet assigned:

  1. Click Employee, then click Employee.

  2. Click Find, then select the employee to attach the rate sheet to.

  3. From the QuickLinks, select Travel Details.

  4. If no rate sheet has been selected, click the + icon.

  5. Enter the relevant Start Date and select the Rate Sheet.

  6. Click Save.


Service types

Check that the service type hasn't been set to ignore travel calculations:

  1. Click Settings, then click Service users.

  2. Click Service User, then click Service,

  3. Select Types towards the bottom of the list.

  4. Select a service type.

  5. Check that Exclude From Travel Calculation isn't selected.


Transport mode

Check that the employee's transport mode isn't set to ignore travel calculations:

  1. Click Settings, then click Employees.

  2. Click Employee, then click Transport,

  3. Click Transport Modes, then select a transport mode.

  4. Check that Ignore Travel Calculations isn't selected.


Employee and service user address

Check that both the employee's and service user's postcodes exist on Google Maps. When travel is calculated using the Google Maps API, it uses the postcode of each location. If the postcode doesn't exist or is incorrect, nothing is calculated.

You can test this by entering just the postcode found within the employee and service user record into Google Maps:

  • If no results are found, update the postcode in their record to the correct one.

  • If the postcode doesn't exist, you can request that it's added to Google here.
