When a single visit crosses from one time band into another, such as weekday to weekend or day to night, the invoice rate often needs to be divided to reflect those changing conditions. This article explains how the system splits invoice rates proportionally across different rate periods, resulting in either a new blended average rate or a fixed invoice value. By understanding how these calculations work, you can ensure your invoicing remains accurate and aligned with the actual timing of each visit.
Enable split
To enable split rate, follow these simple steps.
Click Settings, then click Finance.
Click Invoice, then click Rate Sheets.
Select the relevant rate sheet.
Select the Revisions tab, then select the relevant revision.
Select the Split checkbox.
Click Apply, then click save.
When a visit spans multiple time bands, whether 2 or more, the system automatically divides the invoice amount across each period based on the time spent in it. These time bands can represent any defined rate categories, such as weekday, weekend, evening, night, or custom intervals your organisation uses. By allocating charges proportionally across all relevant bands, the system ensures the final invoice accurately reflects the full range of rates that applied during the visit.
📌 Note: The Split function works for both invoice and pay rate sheets. It does not apply to duration overrides. If you want to split Public Holiday rates, set PH Type to Split. Retroactive changes require regenerating invoices or manually applying the updated rate sheet.

Example
If you have a four-hour visit that starts at 2 pm and finishes at 6 pm, and there are two different pay time bands set within those four hours, the system will calculate two separate pay amounts and add them together.
If the total cannot be divided by two, the system won't be able to calculate a rate, and it'll provide you with a fixed invoice rate.
If it can be divided by two, the system does the following calculation.
Weekday time band
Portion of visit: 2:00 PM – 4:00 PM
Duration: 2 hours
Rate: £20/hour
Calculated charge:
2 × £20 = £40
Evening time band
Portion of visit: 4:00 PM – 6:00 PM
Duration: 2 hours
Rate: £30/hour
Calculated charge:
2 × £30 = £60

Configure additional options
Configure these options as needed:
Use Start Time: Choose whether to base the calculation on Planned or Actual start time.
Use Duration: Select how to calculate duration (Planned, Actual, or variations).
PH Type: For public holidays, choose:
Split: Splits the charge between the bands.
Lead Out: Applies the starting rate for the entire visit.
Break Type: Decide how breaks affect the rate (average, start, end, or longest duration).
