Service user not appearing under invoice

In this article, we explain why client visits aren't showing on an invoice period.

If you're unable to see a service user's visits under your current invoice, you need to check the invoice run is associated to the funder.

To check the invoice run is associated to the funder, please follow these steps:

  1. Click Service User.

  2. Click Service funder.

  3. Click Find.

  4. Find the funder and click into their profile.

  5. Click Invoice.

  6. Change the Invoice Run drop down to the correct run.

  7. Select Save.

Once saved, regenerate invoices and the client appears.


Private or self funder

If they're a private or self funder, please follow these steps to change this:

  1. Click Service User.

  2. Click Service User that appears underneath.

  3. Click Find.

  4. Under QuickLinks, click Service Funders.

  5. Find the funder and click into their profile.

  6. Click Invoice.

  7. Change the Invoice Run drop down to the correct run.

  8. Click Save.


Service type hidden from invoice

If the service user still isn't showing, check the service type isn't hidden from invoice.

To ensure the service type isn't hidden from invoice, please follow these steps:

  1. Click Settings.

  2. Click Service User.

  3. Click Service User that appears underneath.

  4. Click Service.

  5. Click Types.

  6. Click into the service type.

  7. Click On Invoice.

  8. Untick Hide if Zero.

  9. Click Save.

Once saved, regenerate invoices and the client appears.


Check visits are connected to an invoice run

To check the visits are connected to an invoice run, please follow these steps:

  1. Click Finance.

  2. Click Visit.

  3. Click Reconciliation.

  4. Change by employee to by client.

  5. Click into the client's visits.

  6. Change the type from duration to audit trail.

  7. A green tick is present under Invoice run. Hover over it to see which invoice run and period it's related to.
