Overview

We're pleased to introduce Access People Planner v2026.3.0. This release is headlined by a major new capability for finance teams: Cancellation Approvals, giving you far greater visibility and control over short-notice cancellation charging decisions before they reach payroll or invoicing.

Cancellation Approvals

Late cancellations can be costly and hard to track - was the right charge applied, was it fair, and who signed it off? This release introduces a complete, configurable workflow that puts your finance team in control of short-notice cancellation charges, from the moment a duty is cancelled right through to payroll and invoicing.

Set your own cancellation charging rules. Administrators can now build Cancellation Approval Profiles - reusable rule sets that define, for each cancellation type, how much notice is required and what percentage should be charged or paid before and after that notice period. Profiles can be updated over time without losing historical accuracy, and are fully audited.

Apply the right rules to the right customers. These profiles can be assigned at a general level to a type of bill payer, or overridden for an individual bill payer where a specific arrangement is in place - giving you the flexibility to reflect real contractual agreements.

A clear prompt at the point of cancellation. When a coordinator cancels a duty that falls within the notice period set in a profile, they'll now see a simple, clear prompt explaining that the cancellation may attract a charge, and giving them the option to send it to finance for review - whether they're cancelling a single duty or several at once.

A dedicated review screen for finance. A new Cancellation Approvals area lets your finance team see every cancellation awaiting a decision, filter by branch, area, service type and day, and open each one to approve or reject the pay and invoice charges - with notes captured and a full audit trail kept for every decision.


Protection for payroll and invoicing. Duties awaiting a decision are automatically held back from payroll and invoice runs, with a clear warning shown if a run is about to go ahead while approvals are outstanding - so nothing is charged, or paid, before it's been properly reviewed. Once a decision is made, the correct value flows through automatically, even if it's picked up in a later pay or invoice run.

Visibility wherever you're already working. Pending cancellations now appear as their own segment on the Finance Reconciliation Dashboard, can be reviewed directly from the duty details screen or right-click menu on the timeline, and are included as new columns on the duty export - so the information is available wherever your team already looks.

Bugs Resolved

  • Fixed an issue where the CRM Dashboard drill-down returned no results for the selected period in ACR

  • Fixed an issue where invoices for customers with multiple funders were missing contribution amounts for all but one funder

  • Fixed a rare issue where editing two Bill Payer records at the same time, in different browser tabs, could cause one record's details to overwrite the other

  • The audit log now correctly records changes made to Sexuality and Nationality details

  • Duty export downloads restored

  • CRM activities no longer lose their lead link

  • PayWise+ now reflects updated pay rates after reconciliation

  • Sage employee export now includes all eligible employees
