Configure availability types

In this article, we explain how to configure availability types.

Availability type management

You can manage the types of availability or unavailability for employees, enabling you to customise the types to match your company's needs.

  1. Click Settings, then click HR.

  2. Click Employee, then click Availability Types.

The current availability types are shown in this screen.

  • To add, click the plus image.pngbutton.

  • To view, click the arrowimage.pngbutton.

  • To delete, click the binimage.pngbutton.

Availability record

When creating or editing an availability record, the following fields are available to you. Populating certain fields opens related options to add further information.

To save the record, click the disk button.

Description

Name of the availability type.

Type

On the list, select Available.

Working Pattern Type

Set the availability to a working pattern type.

Generate Visits

Allow visits to generate based on the Service Type and Service Requirement.

Service Type

The service type used when generating visits.

Service Requirement Type

The service requirement used when generating visits.

Colour

The colour code the availability shows in the planning screen.


Unavailability record

When creating or editing an unavailability record, the following fields are available to you. Populating certain fields opens related options to add further information.

To save the record, click the disk button.

Description

Name of the unavailability.

Type

On the list, select Unavailable.

Holiday Type

Select if this is a holiday unavailability type.

Bradford Factor Type

Include this unavailability type in Bradford Factor reports.

Inactive

Do not use.

Continuous

Select to use the Start Time and End Time of the unavailability record, not just the dates.

Disable Concurrent Unavailability

Stops any current unavailability when starting this type.

​Note: You can only have one unavailability type at a time for an employee.

Auto Book Off

Automatically book off any ongoing visits when recording the unavailability.

Override Hours

Enables the ability to override hours for this unavailability type.

Override Days

Enables the ability to override days for this unavailability type.

Colour

The colour code the unavailability shows in the planning screen.

Auto Book Off - Create Partial Visit

If booked onto a visit, it automatically books off the visit and creates a partial visit.

Cancellation Type

The cancellation type is added to cancelled visits when you use this unavailability type.

Service Type

The service type visits change to when you record the unavailability.

Service Requirement Type

The service requirement visits change to when you record the unavailability.

Copy

Creates a copy visit when you cancel a visit using this unavailability type.

Cancellation Type

The cancellation type is used when a copy visit is generated using this unavailability type.

Service Type

The service type that the copy visit generates from.

Service Requirement Type

The service requirement that the copy visit generates from.
