Daylight savings

In this article, we explain how daylight savings works.

Access People Planner does not account for daylight savings. This means shifts crossing the daylight savings changeover won't be adjusted to cover the change.

For example, when clocks go forward, there will be an extra hour worked against the shift.
22:00 – 10:00 = 12 hours
Daylight savings time of -1 hour = 11 hours

When clocks go back, there is an extra hour missing from the shift.
22:00 – 10:00 = 12 hours
Daylight savings time of +1 hour = 13 hours

Shifts need to be manually adjusted for this hour. This can be achieved via the following methods:

Create an Ad hoc payment or invoice type

Payroll

  1. Click Settings, then click Finance.

  2. Click Payroll, then click Adhoc types.

  3. Click the plus icon and enter a description. e.g. ‘Daylight Savings Adjustment’

  4. Enter the relevant information.

  5. Click save.

Invoice

  1. Click Settings, then click Finance.

  2. Click Invoice, then click Adhoc types.

  3. Click the plus icon and enter a description. e.g. ‘Daylight Savings Adjustment’

  4. Enter the relevant information.

  5. Click save.


Add an ad hoc payment to an Employee

  1. Click Finance, then click Employee.

  2. Click Find, then select the relevant employee.

  3. From the QuickLinks, click Adhoc pay.

  4. Click the plus icon, then select the relevant Adhoc pay type.

  5. Enter the payroll value it needs to be preceded by – to deduct pay.

  6. Enter the start and end time, then click save.


Add an ad hoc invoice to a Service User

  1. Click Finance, then click Service User.

  2. Click Find, then select the relevant service user record.

  3. From the QuickLinks, click Service Funder.

  4. Select the relevant service funder record.

  5. From the QuickLinks, select Adhoc invoices.

  6. Click the plus icon, enter the invoice value this need to be preceded by – to deduct charges.

  7. Enter the start and end date, then click save.


Manually adjust

If you do not wish to use ad hoc payment or invoices, you can adjust the pay or charge rate manually within the shift itself. To do this follow these simple steps.

Pay rate

  1. Click Finance, then click Visit.

  2. Click Reconstruction, then find the relevant visit.

    🤓Tip: Use the search fields to search by employee, service user and date.

  3. Select the checkbox next to Pay rate.

  4. This allows you to change the pay rate manually.

  5. Then change the dropdown to fixed.

  6. Click save.

Invoice rate

  1. Click Finance, then click Visit.

  2. Click Reconstruction, then find the relevant visit.

  3. Select the checkbox next to Invoice rate.

  4. This allows you to change the pay rate manually.

  5. Then change the dropdown to fixed.

  6. Click save.
