A supplement is one or more records which are reconciled after the invoice or payroll period has been accepted or released from a held status.
Supplements in the system operate under a fixed 180‑day visibility window, calculated from the initial visit date. Once that window closes, the system automatically hides older supplement records to keep data current and performance stable.
When a visit is more than six months older than the most recent invoice period, any supplements linked to that visit will no longer appear.
This rule applies universally, regardless of:
Whether the visit was set up as ad hoc.
Whether the visit was unreconciled.
Whether the visit was held.
If the visit is outside the 180‑day threshold, the supplement simply falls out of view.
For any supplements or visits that exceed the 180‑day limit, updates or corrections can't be made through the standard supplement workflow. Instead, amendments must be processed using ad‑hoc invoices, which allow you to manually adjust charges without relying on the supplement system.
The 180‑day restriction is intentional. It helps the system:
Maintain strong performance by avoiding the buildup of outdated supplement data.
Keep the interface focused on recent, relevant activity.
Reduce the risk of errors caused by modifying very old records.
By limiting visibility to the most meaningful timeframe, the system stays responsive and easier to manage.
